Starting June 1, coinciding with the launch of the Virtual Advance Program, one display banner ad position (PDF 404KB) can be reserved in each of the following sections:

Final Program Frequency Discount
Receive a 10% discount for three or more advertisements in the Final Program purchased by the same exhibiting company. There is no agency commission or any other discount for advertising within any other printed program.
Restrictions
In order to give all companies a fair chance at the most sought-after positions, limits have been set on the number of allowed reservations for each printed program as follows:

After June 1, the reservation restrictions for the Final Program and the Subspecialty Day Meeting Guide will be lifted.
Advertising Policies
- Advertising opportunities are available exclusively to companies who exhibit at the Joint Meeting.
- All opportunities are available on a first-come basis.
- All advertising agencies and marketing companies must submit a Third Party Authorization Letter (PDF 133KB) in order to secure a Joint Meeting advertising opportunity. Reservations for advertising opportunities will not be processed without the Third Party Authorization Letter.
- Cancellations cannot be accepted past the insertion order deadline for printed publications. Companies canceling after the insertion order deadline will be invoiced for the full amount.
- Payment is due net 30 days from invoice date. Companies whose payments are over 60 days late will not be allowed to reserve opportunities for 2013 until two week after reservations open.

Assignment
Space will be assigned in the order that the reservation is received beginning April 1.
For Final Program and Pocket Guide tab front placements, efforts will be made to place your ad as reserved; however, the Academy reserves the right to move your ad to the tab back if necessary to comply with ACCME content/advertising regulations.
Confirmation
You will be e-mailed a confirmation letter verifying the space reserved within one week.

Scans
Four-color images should be scanned at 300 dpi. For the Virtual Advance Program images should be saved in RGB. For all other programs, images should be saved in CMYK.
Fonts
Make sure fonts are embedded into the PDF file.For optimum online readability, suggested minimum font size is 12 pt. Sans-Serif fonts work best.
Acceptable Software
- PDF (no PDF/X standard files)
- InDesign
- QuarkXPress
- Illustrator (with type converted to outlines, saved as .eps, and with linked files)
- Photoshop (saved as .tif or .eps)
Any other applications (e.g. PowerPoint and Word) are unacceptable.
Additional Requirements: Pocket Guide Tabs
Due to the narrow width of the Pocket Guide, tabs will not be the external type as in the Final Program. Tabs will be die-cut internally and folded out by the attendees. Templates for each tab provided above, under the list of available positions.
Additional Considerations for the Virtual Advance Program
- You are allow unlimited links as written URLs.
- You may request a link from an image (e.g. logo) or specific text in your ad to your website for an additional charge for each manual link. Be sure to provide the URL when you submit the ad.
- You may include Flash Animation elements in your ad for an additional charge.
- You may embed audio or a video in your ad for an additional charge.

All-electronic delivery preferred. It is not necessary to mail composite laser prints or color composite prints.
If the ad is less than 10MB, you can e-mail it to Abigail Greber (agreber@aao.org). If the ad is more than 10MB, upload to the Academy's FTP site.

- Open the appropriate publication folder (e.g. Pocket Guide or Final Program).
- Create a folder and label as "company name_ product or ad name." Put all files in this folder. Create a folder for each ad. If you are advertising in more than one publication, please upload ad materials to each separate publication folder. This ensures that the correct ads are used.
- Notify Abigail Greber that you have uploaded your ad files.
Optional: Native files (e.g. InDesign); any support files that are incorporated in the ad (e.g., logo, images); screen and printer fonts. Fonts must still be included even if the ad is saved as an .eps file.
Disposition of Materials
Materials will be destroyed immediately after publication, unless otherwise requested.
