Exhibitor Service Manual (ESM)

The online Exhibitor Service Manual (ESM) contains important information for your participation in AAO 2014 and Retina Subspecialty Day exhibitions.

You will need your Academy company username and password to log in. If you do not have your Academy company username and password, contact exhibitions@aao.org. Please do not create a new account.

After successfully logging in, if you have an account with Freeman, the landing page will contain AAO 2014 information. Select Forms and Brochures from the tool bar and expand this section for details on Academy regulations, deadlines and contacts, as well as details provided by Freeman and other Official Suppliers.

If you do not have a Freeman account, you will be asked to complete a brief registration and then you will be passed to the ESM. Proceed as noted above. If you are in need of assistance with your record on file or creating a new record, contact Freeman Customer Service:

Official Contractors
To identify our partners, look for the official contractor logos on order forms and email communications. We have asked them to include this special meeting logo when sending promotions to registered exhibitors. Review the Official Contractors (PDF 434KB) section of the ESM for a complete list of our partners and to view the special meeting logo.

Marketing Activities
Share the Publicity and Advertising (PDF 630KB) regulations from the ESM with your marketing staff as they plan the marketing strategy for AAO 2014. The Academy has created a Marketing Free Zone around the immediate vicinity of McCormick Place and the Hyatt Regency McCormick Place along Martin Luther King, Jr. Boulevard and McCormick Place Square. Exhibitors are prohibited from all street marketing activities in this area. Contact the Director of Exhibitions if you have any questions regarding these regulations or marketing activities.

Exhibitor Designated Contractors
Exhibitor Designated Contractors (EDCs) are un-official contractors designated by exhibiting companies to perform installation, dismantle, AV or specialty services for their booth. Exhibiting companies must notify the Academy of their intent to use an independent contractor by submitting the EDC Authorization Form by Friday, Aug. 15. This form is only available in the Exhibitor Portal, log in now if you need to submit the form.
