Exhibitor Registration
The Exhibitor Registration website is now open. This tool allows companies to manage their list of registrants, make changes, additions and deletions until the close of the annual meeting.

The Advance Exhibitor Representatives badges are the only ones mailed in advance. To receive these badges in the mail register individuals using the Advance Exhibitor Representative Registration type by Wednesday, Sept. 3. Review the Exhibitor Registration (PDF 511KB) section of the Exhibitor Service Manual for complete information on Advance Exhibitor Representative badges, other registration types, and answers to most of your registration questions.

To expedite the delivery of the annual meeting or Subspecialty Day Exhibitor badge(s) onsite, add a unique email address for your representatives so they receive a registration confirmation before the meeting that may be taken to the Will Call counters in Chicago. New! Representatives with a copy of their email confirmation need only show their photo identification to receive their badge.

Onsite Badge Distribution Program
The Academy offers the Onsite Badge Distribution Program, allowing the meeting contact to pick up all or some of their company's representative badges onsite during a scheduled pick-up period. Complete and return the Onsite Badge Distribution Form (PDF 151KB) by Wednesday, Oct. 1 if you wish to pick up all or the bulk of your badges.

Shuttle Buses
Shuttle bus service is provided between all official Academy hotels and McCormick Place during meeting hours Saturday, Oct. 18, through Tuesday, Oct. 21. Share the Shuttle Bus Schedule (PDF 118KB) with your colleagues. Find additional the information on the Ground Transportation webpage.

Exhibitor Registration Policies
Each exhibiting company has appointed a primary meeting contact to handle the details of the company's participation in the AAO 2014 and/or Retina Subspecialty Day exhibition (s) and will register representatives of the exhibiting company as exhibitor representatives.

AAO 2014

  • Exhibitor personnel may only purchase an Academy Plus course pass onsite.
  • Employees of exhibiting companies cannot register independently for AAO 2014.

Subspecialty Day

  • Representatives of exhibiting companies may register for Subspecialty Day Meetings.
  • Use the Academy's website or the attendee registration form and select the Commercial Representative registration category.

Commercial Representatives

  • Commercial Representatives are defined as non-physician employees of a commercial company including credentialed individuals, such as PhD, PharmD, or MBA.
  • Commercial companies are defined as those involved in research, development, production, manufacturing and/or sales of ophthalmic related products or services. This includes but is not limited to start-up and research companies.
  • The Commercial Representative registration category is for those who have a legitimate educational or business reason for attending AAO 2014 but do not have a product or service to exhibit. Please review and submit the Commercial Representative Inquiry Form (PDF 120KB).
  • Commercial Representatives may register for any Subspecialty Meeting.
  • Do not use the Health Professional category to register for AAO 2014 or Subspecialty Day. This category is designed for those working in ophthalmic practice or the academic arena.
  • Employees of an exhibiting company are registered under that company's participation as Exhibitor Representatives.
  • Commercial Representatives who register for AAO 2014 or Subspecialty Day in any other category will have their registration cancelled and payments refunded.

With the exception of registering for a Subspecialty Day Meeting, do not use the attendee registration form or register using the Academy’s website. These methods of registration are for physicians and health professionals only.

Exhibitor Hotel Reservations

  • Companies who have registered to participate in the AAO 2014 and/or the Retina Subspecialty Day Exhibition can use the online hotel reservation website to select hotels from a live inventory list and receive immediate confirmation of their hotel reservation.
  • Review the Exhibitor Hotel Reservation Information (PDF 1MB) brochure for complete information, including a list and map of official Academy hotels.
  • You may use the interactive hotel list and map as a tool to preview hotels and the available amenities at each property. Do not login to this website - you will not be able to make hotel reservations here.
  • Hotels not listed when you log into the Hotel Reservation website have sold out their exhibitor room inventory.
  • All room and suite reservations require a deposit of one night's room and tax at the time of booking.
  • The maximum number of rooms that can be booked online is 20. If you need more than 20 rooms, request an Exhibitor Hotel Reservation Application by emailing

Important Hotel Reservation Dates

Sept. 3 Deadline to submit rooming list to Expovision
Sept. 17 Hotel Reservation cut-off date. Expovision requests all changes and cancellations by this date. After this date, deposits may be nonrefundable and published convention rates may not be available.

AAO 2014 Registration Options for Representatives of Non-Exhibiting Companies

Commercial Representative Registration

  • For Commercial Representatives with a legitimate business or educational reason, but whose company does not have a product or service to exhibit.
  • This registration includes access to all sessions, symposia, papers, posters and the exhibition for all four days of AAO 2014.
  • The advance registration fee is $1,600

Industry Visitor Pass

  • For companies interested in exhibiting in the future. This pass allows two representatives of a company to visit the AAO 2014 Exhibition for one day.
  • The fee for the pass is $950.
  • If the company decides to participate at AAO 2015, this amount will be applied to its exhibit space fee.

Business to Business Industry Visitor Pass

  • Offered as a professional courtesy for non-exhibiting companies to allow representatives of industry contact with the companies who are participating in the AAO 2014 Exhibition.
  • This pass allows a representative to visit the exhibit hall all four days of the exhibition.
  • The fee for the pass is $1,900.
